Receptionist/Customer Service Representative
Essential Functions:
- Warmly greet and assist visitors in person or on the telephone, directing inquiries to the appropriate personnel.
- Collaborate with cross-functional teams to gather order status information, process orders, and return merchandise authorizations (RMA), and update customers on order status, availability, and pricing.
- Maintaining customer information in the database and generating monthly complaint reports.
- Maintain associate and department directories to facilitate efficient visitor guidance.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is well-organized, tidy, and stocked with necessary materials.
- Provide accurate and helpful information to visitors through various channels.
- Receive, sort, and distribute daily mail and deliveries.
- Uphold office security protocols, including monitoring the logbook and issuing visitor badges.
- Monitor office supplies and request replenishment as needed.
- Update calendars and schedule meetings upon request.
- Perform general clerical duties such as filing, photocopying, transcribing, and faxing.
- Utilize appropriate resources to provide accurate and comprehensive information.
- Identify and assess customer needs to achieve satisfactory resolutions.
- Correspond with customers via email and respond to online reviews.
- Coordinate with QC/Accounting, Manufacturing, and Shipping departments.
- Contribute to team efforts by assisting with related tasks as required.
- High School Diploma or equivalent.
- Proficiency at an intermediate level in Microsoft Office Word (Outlook, Excel & PowerPoint) and internet usage.
- Minimum typing speed of 40 words per minute.
- Effective verbal and written communication skills in English.
- Experience in handling multi-line phone systems.
- Proficient in the following skills: Verbal Communication, Active Listening, Professionalism, Customer Focus, Organization, and Issue Resolution.
- Ability to work effectively and remain composed under pressure.
- Adaptability to a fast-paced work environment with frequent interruptions.
- Minimum of 2 years of experience in a Receptionist/Customer Service role or a related field.
- Knowledge of Supply Management preferred.
- Bilingual candidate preferred but not required.
